Global Tutoring Lab ("GTL", "we", "us", or "our") provides online 1:1 tutoring services to families across the United Arab Emirates, Saudi Arabia, Qatar and the wider Gulf region. We are registered in Sri Lanka. This policy explains what personal data we collect, why we collect it, how we protect it, and the rights you have. We take a GDPR-aligned approach to all personal data, regardless of where you are located.

1. Who this policy applies to

This policy applies to parents and guardians who contact or book with us, to the children who receive tutoring, and to business partners who enquire about our tutor-supply services. Because most of our students are children, we place particular emphasis on parental consent and child safeguarding throughout this policy.

2. Information we collect

We only collect what we need to deliver and improve our tutoring service:

• Contact and enquiry details: parent/guardian name, WhatsApp number, email address, and country.
• Student details: the child's first name, year group, school curriculum, and any learning needs you choose to share so we can match a suitable tutor.
• Session and progress data: attendance, session notes, progress reports, and tutor feedback.
• Billing information: where you purchase paid sessions, transaction records and the payment method used (card and bank details are handled by our payment providers, not stored by us).
• Website and marketing data: pages visited, device and browser information, and how you found us, collected through cookies and analytics tools.

3. How we use your information

• To respond to enquiries and confirm and schedule trial or paid sessions.
• To match your child with an appropriate tutor and deliver lessons.
• To send session confirmations, reminders, and progress reports (typically via WhatsApp and email).
• To process payments and provide receipts.
• To improve our teaching, quality-assure tutor performance, and develop our services.
• To send occasional service updates or offers where you have opted in. You can opt out at any time.

4. Legal bases for processing

We rely on the following legal bases: performance of a contract (to deliver tutoring you have requested), legitimate interests (to run and improve our business in a way that does not override your rights), consent (for marketing communications and non-essential cookies), and legal obligation (for tax and record-keeping).

5. Children's data and safeguarding

We collect a child's information only from, and with the consent of, a parent or guardian. We collect the minimum needed to deliver tutoring safely and effectively. Every tutor is vetted, trained in GDPR and data privacy, and required to complete safeguarding training before delivering any session. We never share a child's personal information with third parties for marketing. If you have a safeguarding concern, contact us immediately at hello@globaltutoringlab.com and it will reach a designated safeguarding lead.

6. Sharing your information

We do not sell your data. We share it only with trusted service providers who help us operate, and only to the extent needed:

• Website host and forms: Netlify hosts our website and processes the forms you submit on it. We reply to enquiries through WhatsApp Business.
• Communication tools: WhatsApp (Meta) and email providers to reach you.
• Payment providers: to process payments securely.
• Analytics: Google Analytics / Google Tag Manager to understand website usage.
• Our tutors: who receive only the information needed to prepare and deliver your child's sessions.

We may also disclose information where required by law.

7. International transfers

Because we operate between the Gulf, Sri Lanka, and global service providers, your information may be processed outside your country of residence. Where we transfer data internationally, we take reasonable steps to ensure it is protected to a standard consistent with this policy.

8. Data retention

We keep personal data only as long as necessary for the purposes above, or as required by law. Enquiry data for prospects who do not become customers is retained for a limited period and then deleted or anonymised. Student and billing records are kept for the duration of the relationship and a reasonable period afterwards for legal and accounting purposes.

9. Your rights

You may ask us to access, correct, delete, or restrict the use of your personal data, object to certain processing, or request a copy of your data. You can also withdraw consent to marketing at any time. To exercise any of these rights, email hello@globaltutoringlab.com and we will respond within a reasonable timeframe.

10. Cookies

Our website uses cookies and similar technologies for essential functionality and, with your consent, for analytics and marketing. You can control cookies through your browser settings. Disabling some cookies may affect how the site works.

11. Data security

We use appropriate technical and organisational measures to protect personal data against loss, misuse, and unauthorised access. No method of transmission over the internet is completely secure, but we work to protect your information and review our safeguards regularly.

12. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it was last revised. Material changes will be communicated where appropriate.
